Kairon provides football video analysis services. This policy explains what data we collect, why we process it, how long we keep it, and how we protect it when delivering analysis, tracking, reports, and related output.
If you are using Kairon on behalf of a club, academy, or sporting department, your organization may be the data controller for the footage and personal data you upload. Kairon acts as a processor where we handle that data on your documented instructions.
1. Scope
This policy applies to data processed through Kairon’s website, product, and services, including uploaded footage, related match context, generated reports, contact requests, and technical logs required to operate the service.
2. Data We Collect
2.1 Contact and account data
- Name, email address, and organization details when you contact us or use the service.
- Commercial and support correspondence.
- Authentication and account security data where relevant.
2.2 Analysis inputs
- Uploaded match or training footage.
- Clips, match identifiers, competition metadata, timestamps, and operational notes provided by the customer.
- Any supporting files or instructions required to run analysis correctly.
2.3 Analysis outputs and technical logs
- Derived event data, tracking data, tactical summaries, and generated reports.
- Usage, diagnostics, system logs, device data, IP address, and browser metadata needed for security, debugging, and product reliability.
3. How We Use Data
We use data to:
- Operate and improve the video analysis service.
- Run event detection, tracking, and reporting workflows.
- Provide support, onboarding, and customer communication.
- Monitor reliability, diagnose failures, and protect the service from misuse.
- Comply with legal obligations and enforce our agreements.
We do not sell customer data.
4. Legal Basis
Where GDPR or equivalent rules apply, we rely on one or more of the following bases:
- Contractual necessity, where processing is required to provide the service.
- Legitimate interests, including security, debugging, service reliability, and operational improvement.
- Consent, where a feature or workflow specifically requires it.

Some providers may process data outside the country where the customer is located. Where international transfers occur, we use legally recognized safeguards designed to protect personal data.
7. Retention
We keep data only for as long as needed to provide the service, maintain operational integrity, resolve disputes, and comply with legal obligations.
7.1 Uploaded footage
Uploaded video and related working files are retained for the period agreed with the customer or, where no separate term is agreed, only for as long as reasonably necessary to provide the analysis service and associated support.
7.2 Derived outputs
Reports, event data, and derived analysis may be retained for longer than raw footage where needed to provide the contracted service, preserve project history, or support customer review.
7.3 Technical logs
System logs and diagnostics are retained for limited periods appropriate to security, debugging, and infrastructure reliability.
8. Controller and Processor Roles
For customer-uploaded footage and related operational data, the customer typically acts as the data controller and Kairon acts as the data processor.
For website, contact, and direct commercial communications, Kairon acts as the data controller for the personal data it collects directly.
9. Youth Footage and Consent
If a customer uploads footage involving minors, the customer is responsible for ensuring that all necessary permissions, lawful bases, and consents have been obtained before upload.
Kairon does not independently verify parental or guardian consent and relies on the customer’s authority to submit the material for analysis.
10. Security
We use reasonable technical and organizational measures to protect data, including encrypted transport, access controls, operational monitoring, and restricted access to sensitive workflows.
No system can be guaranteed to be perfectly secure, but we design the service to reduce unnecessary exposure and to respond quickly when issues are detected.
11. Your Rights
Depending on applicable law, you may have rights to access, correct, delete, restrict, object to, or request portability of your personal data.
If Kairon is acting only as a processor for customer-uploaded data, requests about that data may need to be directed first to the relevant customer acting as controller.
